All bookings are subject to our Terms & Conditions. By requesting a booking you are deemed to have accepted these terms and conditions.
The named person who makes the booking must be one of the guests who stays. She or he must be over 18 years old. This person is responsible for making sure that the terms of booking are adhered to.
Each accommodation unit has a maximum occupancy number, which you must stick to.
We reserve the right to refuse a booking, but of course treat everyone equally and fairly.
We strongly recommend that you have holiday insurance. Your insurance should cover all risks including cancellation, accident, breakdown, loss or damage to personal property.
Neither New Forest Bell Tents Ltd nor the owner shall be held responsible or liable for any loss or damage suffered by you or members of your party.
Whilst every care is taken to ensure that the details in this website, including any promotional emails, are correct at time of being published, we cannot accept responsibility for errors contained therein or results thereof. We are not responsible to you for unforeseen events or matters over which we have no control.
While we do our best to ensure that all offer information is up to date and accurate, very occasionally some advertised short breaks in certain accommodation may not always be available on all the dates advertised. Please enquire when booking.
The prices featured on the website are not binding. We reserve the right to modify these prices. The price stated at the time of confirmation is binding.
Please check all personal details at the time of booking. We cannot take responsibility for booking or personal detail errors. All address and contact information must be correct at the time of booking for a successful payment to be processed. In the event of an unsuccessful payment we reserve the right to cancel your holiday if payment is not received within 7 working days.
All communications are sent via an automatic email server and rely on a valid email address being supplied. We cannot take responsibility for loss of communication e.g. booking confirmation emails etc if contact information is incorrect. We will make every effort to supply you with the relevant booking confirmations and receipts.
We carry out most communication with you by email. We tend to phone only in emergency or if we can’t get you by email. We’ll keep your details on record, but only basic information will be passed on to housekeepers (name and emergency phone number). We promise never to pass information on to other companies. We will only email offers and updates a few times a year and of course we’ll take you straight off our mailing list if you ask us to.
All payments need to be made in pounds sterling.
At the time of booking you can either:
Pay in full, including any extras you have requested.
Or, as long as the start of your holiday is more than 4 weeks away, you can opt to pay 50% of the full amount to secure the booking, and pay the balance 28 days in advance of your stay. We will send a reminder when the balance is due. Failure to pay the full balance by the due date may be treated as a cancellation.
The easiest way to pay for your holiday is online, through our secure payment system provided by Stripe. Card types accepted are Maestro, Visa and Amex. We will notify receipt of all payments, by email. It is also possible to pay over the phone or by bank transfer, please enquire. A booking has not been made until a deposit has been paid.
Our guests tend to be careful and we appreciate this very much. Sometimes accidents happen, and we ask that you let us know about any accidental breakages straight away (by phone, text or email) so that we can arrange repairs/replacements before the next guests arrive. Please don’t try to fix things yourselves, we’d rather know and deal with things later.
On booking we will store your debit/credit card details. A charge of £50 will be made to your payment card if the tent is left in an unacceptable condition (cleaning surcharge). In the unlikely event of there being damages or breakages we will notify you of any deductions first (don’t worry, we are not picky about little accidents like broken glasses!). You are liable for the full cost of any damage caused during the rental period.
In the very unlikely event that the property you have booked becomes unavailable or unsuitable for your holiday for reasons beyond our control, we will make every reasonable effort to arrange suitable alternative accommodation. If this is not possible, or is not acceptable to you, all rental monies paid in advance will be refunded in full and you will have no further claim against New Forest Bell Tents Ltd.
We make every effort to describe the accommodation and facilities as accurately as possible, and to keep information up-to-date. Details are given in good faith and we cannot accept responsibility or liability for differences or for any disappointment caused where a guest has differing expectations to those detailed in the description.
We take pride in our accommodation and maintain facilities to a high standard, however sometimes things do break down or malfunction. Please let us know straight away, by phone, text or email if something isn’t working, and we will make every effort to sort it out straight away.

If you cannot go ahead with your holiday we will try and amend your booking to another date within the same booking season.
If you have to cancel, the following charges will be made:
0 – 13 days from holiday start date 100% of accommodation cost
14 – 27 days from holiday start date 75% of accommodation cost
28 – 42 days from holiday start date 60% of accommodation cost
42 days or more from holiday start date 15% of accommodation cost
As with any holiday we suggest that you take out your own holiday insurance to cover any losses. In the unlikely event that New Forest Bell Tents Ltd has to cancel or change your holiday, we will offer you the choice of a full refund of all monies paid to us or the option of rebooking your holiday within the same booking season. No compensation is available.
Dogs strictly by prior arrangement. We only allow small, well behaved dogs (one dog per party) and ask that they’re accommodated in a suitable dog crate during your stay. They must be kept under control and on a lead whilst on site. There is a surcharge of £5 per night for bringing a dog. Please contact us if you are thinking of bringing your dog. We reserve the right to refuse bookings for any dog/s we deem too large to be accommodated.
Arrival outside our changeover days (of Friday, Sunday and Monday) is possible but will incur a surcharge of £30 – this is included in the quoted cost of your holiday.
Please note we live off site, so it is important that you contact us approximately 30 minutes before you arrive on site so we can be there to welcome you. Sending us a text with your estimated arrival time will be fine.
We request that you arrive at or after 3pm and no later than 6pm. If you are for any reason you think you will arrive later than this please let us know in advance. Departure time is by 11 am. This is to make sure that our housekeepers have enough time to prepare for the next guests.
New Forest Bell Tents Ltd cannot accept responsibility for any holiday where it is affected or prevented by reason of circumstances that amount to force majeure. ‘Force Majeure’ means any event that New Forest Bell Tents Ltd could not, even with due care, have foreseen or avoided. Such circumstances include war, threat of war, civil strife, industrial action, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, foot and mouth disease and all other similar events outside of our control.
In the event that you have any complaint about your stay, please contact us immediately so that we can resolve any problem and we will make every reasonable effort to resolve the issue as soon as possible.
Guests undertake to behave in a proper, appropriate and legal manner and respect other users of the campsite and their property. Please keep noise levels to a minimum after 10:30pm. If any guest behaves inappropriately, improperly or illegally, the campsite management reserves the right to ask the guest and their party to leave the site before the end of the holiday. No compensation is available for any forfeited nights.
Subject to these terms and conditions, the guests shall wholly indemnify New Forest Bell Tents Ltd in respect of all claims from any source at any time, where any injury or death to persons, damage to property, or loss or damage is caused by, or arises out of, the misuse of equipment by any person other than New Forest Bell Tents Ltd or their employees.
The person who accepts the terms and conditions when placing a booking certifies that:
He/she is authorized to agree the Terms & Conditions on behalf of all persons in the party.
He/she is over 18 years of age.
They agree to take responsibility for the party occupying the accommodation.
